(Hereinafter referred to as Award Booking Service).
Please take the time to read the following terms and conditions carefully. You must be 18 years of age or older to make any booking and must fully understand and agree to the terms and conditions outlined below.
These terms and conditions apply to all bookings made through a Consultant (in-store, over the phone, or by email) as well as online bookings made via our website. They govern our relationship with you. Once we accept your booking on behalf of a Supplier, you will have a separate contract with the Supplier, which will be governed by their own set of terms and conditions. It is your responsibility to ensure that you are aware of these terms and conditions.
Please note the following important points regarding our terms and conditions:
– Prices are subject to change, including those of confirmed bookings.
– Some confirmed bookings may be non-refundable if cancelled by you. Please check the details before making a booking.
– We will retain our service fees even if a booking is cancelled or doesn’t go ahead, unless it is our fault.
– It is your responsibility to be aware of all relevant information regarding your travel plans, such as visa requirements and health precautions.
– We are not your agent, and may receive additional fees or incentives from Suppliers.
- – We are not liable for the accuracy of any published Supplier content, including websites and brochures.
PRICES AND TAXES
Please note that all prices we quote are in USD (USA Dollars) and are based on twin share accommodation unless stated otherwise. It’s important to keep in mind that quoted prices are subject to change at the discretion of the supplier before booking. Price changes may also occur after booking due to factors outside of our control such as adverse currency fluctuations, fuel surcharges, taxes and airfare increases. To get the most up-to-date prices, please contact your consultant.
It’s worth noting that even if you have paid in full, a price may still change due to factors beyond our control. Prices include all applicable taxes that need to be paid before departure and may be adjusted in case of an increase in those taxes. Additionally, you may be liable for taxes in addition to the quoted price of the product on certain occasions. For instance, some airports or resorts may charge a local tax.
All quoted products are subject to availability and may be withdrawn or varied without notice by the supplier.
FEES AND SURCHARGES
Please be aware that various fees and surcharges may apply to the services we provide, such as booking or reservation fees, cancellation and amendment fees, credit card merchant fees, insurance claim processing fees or fees for ad-hoc services performed as required. You can find our current schedule of professional service fees on our website.
In case you choose to make a payment by credit card, please note that a surcharge will be added to offset our cost of accepting payment by credit card. The surcharge amount differs depending on the type of credit card used, and it is your responsibility to inform us of the correct credit card type to ensure that the appropriate surcharge is applied. Please note that we are not responsible for any incorrect surcharges applied due to incorrect information provided by you, and the surcharge applied will not be refundable.
By using our services, you authorize us to charge all amounts payable by you in connection with any booking we make on your behalf or other services we have procured or provided to the credit card or debit card you have designated. If the card issuer or its agents fail to make payment for any reason, you agree to pay us all amounts due immediately upon request.
CHANGE AND CANCELLATION FEES
Please note that some bookings that have been confirmed may not be refundable if cancelled, and you may not be able to change the date or transfer the booking to someone else. In some cases, you may be able to make a change, but this will depend on whether you pay an additional fee or charge. It is important that you check if a booking is refundable or not and whether there are any charges for making changes before you confirm your booking.
Please be aware that if you need to change or cancel a confirmed booking, you may be charged a fee by the Supplier in addition to our service fees. These fees will be outlined in the Supplier’s terms and conditions.
Please note that your eligibility for a refund for cancelled bookings depends upon the terms and conditions of the relevant supplier. If you are entitled to a refund, we will arrange for it to be provided to us on your behalf, unless you and we agree otherwise. However, please be aware that if we are managing or arranging a refund for a cancelled booking on your behalf, the supplier will provide the refund to us first, and it will not be paid to you until we receive it. We cannot be held responsible for any delay on the part of the supplier, but please note that airlines typically take between 60-90 days to process a refund.
Furthermore, if we are entitled to a service fee for placing a booking, we will remain entitled to this fee even if you cancel the booking or the supplier fails to provide you with the product for any reason (except our default), including in an event of Force Majeure. Before remitting the balance to you, we will deduct our service fee from any refund we receive on your behalf.
DEPOSITS AND PAYMENTS
When you book a product, you will be required to pay a deposit. The amount of the deposit depends on the product you book and how much time there is until you travel. Sometimes, you will need to pay the full amount at the time of booking. In this case, your consultant will let you know how much the deposit is when you book. Keep in mind that all deposits are not refundable if you change your mind or decide to cancel (unless you have rights under the US Consumer Law). You will need to make the final payment no later than six weeks before you depart if a deposit has been collected. If you do not make the payment by the due date, your booking may be canceled and your deposit will be lost.
If you are paying by direct deposit, it may take up to three business days to process. In that case, you should make the payment at least three business days before the due date. Once you make your payment, you must inform your consultant.
If you are paying by personal cheque (excluding bank cheques), it may take five business days to process. That means you should make the payment at least five business days before the due date. Even if you cancel the booking, you agree not to stop payment of the cheque. We may apply the proceeds of the cheque to pay off any liability you have to us or a supplier, including any liability in respect of cancellation fees, before refunding the balance to you.
Our responsibility is limited to arranging a booking of a Product based on your instructions. It is your responsibility to ensure that you have all the necessary information to make the most of the Product and to travel safely. We strongly advise you to read our travel information, particularly regarding passport and visa requirements. Please note that this information is provided as a guide only and, although we strive to keep it up-to-date, we do not guarantee its completeness or accuracy at all times. Moreover, it may not cover every aspect of your travel plans. Therefore, it is your responsibility to investigate and confirm any matters that are relevant to you.
Please inform your consultant regarding any special requirements you may have for your travel arrangements, such as special meal requests, seating preferences, room types, or disabled access, prior to making a booking. If you do not specifically inform us of any such requirements, we will assume that you do not have any, and your booking will be made based on that assumption.
FREQUENT FLYER AND LOYALTY PROGRAMS
It is important that you inform our Consultants of your frequent flyer membership details or any other relevant loyalty program details when making a booking. Although we will include your details in the booking, we cannot guarantee that the Supplier will credit you with points for your booking.
If you have made a booking with a consultant, it is your responsibility to collect all your travel documents from us before you travel. Generally, your travel documents will be available for collection two weeks before your departure date, but it may vary depending on your individual arrangements. Please get in touch with your consultant to confirm when your travel documents will be ready for collection. If you have booked online, you should print out your travel documents as provided to you by the website or in a confirmation email that we send you, and keep them with you. It is important to carefully review your travel documents and notify us immediately of any errors in names, dates, or timings.
As a travel agency, we offer various travel-related products as an agent on behalf of transport, accommodation, and service providers such as airlines, cruise line operators, and travel wholesalers. We may receive fees, commissions, or financial incentives from suppliers for the products we advise you on or arrange on your behalf. Brochures given to you are either provided by suppliers or prepared by us based on their content, and we are not responsible for any errors in the material.
We act on your instructions to make travel bookings and arrange contracts between you and the applicable supplier. However, we are not your agent and do not have any fiduciary duty to you. While we exercise care in selecting reputable suppliers, we do not provide travel services and have no control over, or liability for, the products provided by third-party suppliers. All bookings are subject to the terms and conditions, including conditions of carriage and limitations of liability, imposed by the supplier. We recommend that you read these terms and conditions before finalizing the transaction and we can provide copies of them on request.
Your legal rights and remedies regarding products are against the supplier, not us, except to the extent that a problem is caused by us. If, for any reason (excluding fault on our part), the supplier is unable to provide the product for which you have contracted either at all or to the requisite standard, your remedies are against that supplier, not us.
We cannot be held liable for any harm, damage, loss, delay, extra expenses or inconvenience caused by the acts or negligence of third-party providers, events of Force Majeure or any other event beyond our control. If, however, our liability cannot be excluded, it is limited to the remedies required by applicable law. We do not accept liability for any consequential loss. This liability clause is subject to your rights under Australian Consumer Law and nothing in these terms and conditions limits your rights under the Competition and Consumer Act 2010 (Cth).
If we are prevented from fulfilling our obligations due to an event of Force Majeure, your rights will be subject to the terms and conditions of the relevant supplier.To the extent permitted by law, we do not accept any liability in contract, tort or otherwise for any injury, damage, loss (including consequential loss), delay, additional expense or inconvenience caused directly or indirectly by the acts, omissions or default, whether negligent or otherwise, of third party providers over whom we have no direct control, an event of Force Majeure affecting you, us or a Supplier or any other event which is beyond our control or which is not preventable by reasonable diligence on our part. Under circumstances where our liability cannot be excluded and where liability may be lawfully limited, such liability is limited to the remedies required of us under applicable law (including the Australian Consumer Law). In particular, we disclaim any liability for any consequential loss, including loss of enjoyment or amenity. This liability clause is subject to your rights under the Australian Consumer Law and nothing in these terms and conditions is intended to limit any rights you may have under the Competition and Consumer Act 2010 (Cth).
Without limitation of the disclaimer of liability in the previous paragraph, any obligation we have to you will be suspended during the time and to the extent that we are prevented from, or delayed in, complying with that obligation by an event of Force Majeure.
Your rights with respect to a confirmed booking affected by an event of Force Majeure will be subject to the terms and conditions of the relevant Supplier.
SUMMARY OF OBLIGATIONS
Before you make a booking, please ensure that you meet the following requirements:
– You are at least eighteen (18) years old and have enough funds to cover the cost of travel services.
– You have read and agreed to our terms and conditions. If you’re making a booking for someone else, you must have their permission to do so and ensure that they are aware of our terms and conditions. You’re also responsible for any claims made by third parties who haven’t been properly informed.
– You have read and agreed to the terms and conditions of any travel suppliers involved in your booking.
– You’re responsible for checking that all the documents provided to you are accurate.
– You’re responsible for confirming the departure times of any booked services at least 24 hours before you travel.
– You understand that it’s your responsibility to have the necessary passports, visas, and other identification documents to travel.
“we” and “us” means Award Booking Service, and where the context permits, its Consultants.
“Consultant” means an employee of Award Booking Service, with authority to book Products.
“you” means a person who makes a booking for a Product with us.
“your Consultant” means the particular Consultant or Consultants with whom you negotiate the booking of a Product.
“Supplier” means a third party company or person who provides Products, including a wholesaler of such Products.
“Product” means travel and holiday related products and services including accommodation, leisure activities and various forms of transport, including packaged combinations thereof.
“Travel documents” means any document (whether in electronic form or otherwise) used to confirm an arrangement with a Supplier, including (without limitation) airline tickets, hotel vouchers and tour vouchers.

Personal data provided by users through the website and services will be retained for as long as necessary to provide our services or until the user unsubscribes from our newsletter or requests deletion of their data. Award Booking Service may be allowed to retain personal data for a longer period whenever the user has given consent to such processing, as long as such consent is not withdrawn. Furthermore, Award Booking Service may be obliged to retain personal data for a longer period whenever required to do so for the performance of a legal obligation or upon order of an authority. Third-Party Service Providers. We use third-party services to perform functions on our website. Examples include: creating and hosting the website, processing payments (Stripe, PayPal), sending emails, analyzing data (Google Analytics), providing marketing services and providing search results.
Protection of Award Booking Service and others. We release personal information when we believe release is appropriate to comply with the law, enforce or apply our Terms and conditions and other agreements, or protect the rights, property, or safety of Award Booking Service, our users or others. This includes exchanging information with other companies and organizations for fraud protection and credit risk reduction.
